What we implemented
We built a WhatsApp AI agent grounded in the institution's actual programmes, fees, eligibility rules and admission timelines. The agent responds to every message within seconds, answers real questions in natural language — including mixed Hindi-English — and runs a short qualification flow covering programme interest, academic background and timeline. Qualified prospects are offered counselling slots and booked directly into the calendar; complex or sensitive conversations hand over to a human counsellor with the full transcript attached. Guardrails were engineered explicitly: the agent cannot promise admissions, discounts or outcomes, and was tested against months of historical chat logs before launch.
What changed
First response time went from hours to under ten seconds at any hour. Fifty-eight percent of engaged enquiries occurred outside office hours — conversations that previously died in the overnight gap. Counselling bookings tripled within two months, and counsellors reported spending their time on genuinely interested, pre-qualified prospects rather than repetitive first-line questions.
Why it worked
The agent succeeded because its scope was honest: answer accurately, qualify politely, book quickly, and hand over the moment a human was needed. Speed did the rest.
